GNB Inventory Pro Privacy Policy

1. Introduction

This Privacy Policy applies specifically to the GNB Inventory Pro mobile application provided by GNB Property Limited.

GNB Inventory Pro is a property inventory and property-management application used by professional users (for example estate and lettings agencies and related staff) to carry out inspections, capture property condition information, manage inventory records, and related workflows.

This policy explains how we collect, use, store and protect personal data when you use GNB Inventory Pro. It is separate from our general website Privacy Notice.

2. Information We May Collect

Depending on how you and your organisation use the app, we may process:

Account and contact information

Information used to authenticate and administer your account, such as name, email address, role or access level, profile image (if provided), and session/authentication tokens.

Property and inventory information

Information entered or generated through inventory and inspection workflows, which may include property and letting references, addresses and related property details, room and item records, condition and cleanliness notes, meter and alarm information, key records, damage reports, dampness and mould answers, digital signatures, diary or appointment details, and generated reports or summaries.

Photos and media

Photos, videos, audio recordings and other files you capture or upload in connection with inspections and inventory work. Camera or photo-library access is used only when required by app functionality and with your device permission.

Location-related information

Property addresses and property coordinates associated with inspection or diary records may be processed as part of property and scheduling data. We do not use this section to claim continuous device GPS tracking. If your device grants location permission for a specific feature, that is controlled through your device settings.

Device and technical information

Technical details needed to operate and secure the app, such as device platform (iOS/Android), device model and manufacturer, app version, device identifiers used for session/device binding, and push notification tokens used to deliver service notifications.

3. How We Use Information

We use personal data where reasonably necessary to:

• provide and operate GNB Inventory Pro
• authenticate users and manage accounts and device access
• support property inventory management and property inspections
• enable image, audio, video and document uploads and storage
• generate and deliver inspection reports and related outputs
• send operational notifications (for example push notifications about reports or updates)
• provide customer support and resolve issues
• maintain security, prevent fraud or misuse, and protect our systems
• monitor reliability and diagnose technical problems
• comply with legal and regulatory obligations

GNB Property Limited does not sell personal information collected through GNB Inventory Pro.

4. Device Permissions

GNB Inventory Pro may request the following device permissions when needed for features you use:

• Camera — to capture photos or video of properties, rooms, items, meters, damage and related inspection evidence.
• Photos / media library — to select and upload existing images or media for inventory and inspection records.

You can manage or revoke these permissions in your device settings. Denying a permission may limit related features. Microphone or other media capture may be used only where the app’s inspection or media features require it and your device grants permission.

5. How We Share Information

We may share personal data with authorised service providers who help us operate GNB Inventory Pro, such as providers of:

• hosting and cloud infrastructure
• storage for files and media
• authentication and access control
• push notification delivery
• monitoring, diagnostics and technical support
• communications related to support or service notices

These providers are permitted to process personal data only as needed to provide their services to us. We may also disclose information where required by law, to protect rights and safety, or in connection with a corporate transaction.

Personal information collected through GNB Inventory Pro is not sold.

6. Data Security

We apply reasonable technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse or alteration. Access to personal information is restricted to personnel and systems that need it for legitimate business purposes. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

We retain information only for as long as reasonably necessary to provide the service, meet contractual requirements with your organisation, maintain security, resolve disputes, and comply with legal or regulatory obligations. When information is no longer required, we take steps to delete or anonymise it where appropriate.

8. Account and Data Deletion

You may request deletion of your account and associated personal data by emailing helpdesk@gnbproperty.com with the subject line "Data Deletion Request". Please include your full name, organisation or account details, and contact information so we can verify your identity.

Limited records may be retained where legally or contractually required (for example for compliance, dispute resolution or audit). Agency or landlord operational records held for your organisation may also be subject to that organisation's retention instructions.

9. Your Privacy Rights

Under UK data protection law, you may have the right to:

• access your personal data
• request correction of inaccurate data
• request deletion
• restrict or object to certain processing
• data portability, where applicable
• withdraw consent where processing is based on consent
